Terms of Service

1. Agreement to terms

These Terms of Service (“Terms”) govern access to and use of MedSpaOS (the “Service”). By signing up for or using the Service, you (“Clinic,” “you”) agree to these Terms.

2. What the Service is

MedSpaOS provides an AI-powered front desk for medical spas and aesthetic clinics: answering inbound calls, SMS, and WhatsApp messages, and booking, rescheduling, and managing appointments on the Clinic's behalf, grounded in information the Clinic provides about its business.

Current scope (founding clinic phase): the Service currently provides AI-powered call/SMS/WhatsApp answering and appointment booking. Additional capabilities described as “roadmap” features are not yet part of the Service and are not guaranteed by these Terms or any marketing material until actually made available.

3. Eligibility and account setup

  • You must be an authorized representative of a legitimate medical spa or aesthetic clinic business to create an account.
  • During the founding clinic phase, accounts are set up directly by MedSpaOS personnel in coordination with you, rather than fully self-service.
  • You're responsible for the accuracy of the business information you provide (services, pricing, hours, policies) — the Service answers questions and books appointments based on what you provide.

4. Your responsibilities

  • Provide accurate, current business information.
  • Ensure you have the right to share any data you upload and that doing so complies with applicable law.
  • Not use the Service for any business other than a legitimate medical spa or aesthetic clinic without our agreement.
  • Promptly notify us of any AI-generated responses you notice are inaccurate so we can correct the underlying knowledge base.
  • Comply with applicable telecom consent laws (e.g. TCPA) regarding how you collect and use customer phone numbers and consent for SMS/calls.

5. Fees and payment

  • Pricing is as described on our pricing page or as separately agreed in writing for your account.
  • Founding clinic rate: if you sign up during the founding clinic phase at the founding rate, that rate is honored for as long as you remain a continuous, active customer in good standing. The rate is not transferable to a new account if you cancel and later resubscribe.

Billing cadence, cancellation terms, and refund policy will be specified here before this goes live.

6. AI-generated content — limitations

  • The Service uses AI models to answer questions, draft responses, and make booking decisions based on information you provide. AI-generated responses may occasionally be incorrect or incomplete.
  • The Service is designed to escalate uncertain situations rather than guess, but this is not a guarantee against every possible error.
  • The Service does not provide medical advice. Any health-related questions from your Clients/Patients should be directed to appropriate qualified staff.
  • You remain responsible for the services your Clinic actually provides and for any commitments made to your Clients/Patients, including those facilitated through the Service.

7. Data and privacy

Use of the Service is also governed by our Privacy Policy. You retain ownership of your business data; we process it solely to provide the Service to you.

8. Service availability

We aim for high availability but do not guarantee the Service will be uninterrupted or error-free. SLA commitments will be specified in a separate agreement once available.

9. Termination

  • You may cancel your account at any time by contacting pavan.harati@gmail.com.
  • We may suspend or terminate accounts that violate these Terms, misuse the Service, or where required by law.
  • Upon termination, we will handle your data per our Privacy Policy's retention and deletion terms.

10. Limitation of liability

This section will be drafted by legal counsel before this document is published. This is a critical section given that the Service makes real scheduling and business decisions on a Clinic's behalf.

11. Changes to these terms

We may update these Terms as the Service evolves. We'll notify you of material changes directly.
